Privacy Policy

This Privacy Policy explains what personal information MANA Labs collects, how we use and share it, and the choices available to you.

It applies to manalabs.academy and our sessions, workshops, courses, events, community spaces, recordings, software, and related services (together, the “Services”).

The Services are operated by Dylan Moore, doing business as MANA Labs (“MANA Labs,” “we,” “us,” or “our”).

1. Information we collect

Information you provide. Depending on how you use the Services, we collect:

• Account and enrollment details: your name, email address, phone number, the programs you purchase or join, and account and membership information used to manage your access. A phone number is required for Foundation Series enrollment.
• Payment and transaction information: billing information, purchase records, payment status, and refund records. Stripe processes your payment details. We do not store your full card number.
• Scheduling information: your availability, time zone, meeting preferences, and information you provide when booking a call or session.
• Your Build Brief and project information: the goals, experience, tools, work, and other details you share so we can prepare for and deliver your sessions.
• Messages and contributions: emails, contact-form submissions, feedback, survey responses, and content you share in sessions or community spaces.
• Preferences and permissions: choices you make about marketing, analytics, and participation in our WhatsApp community.
• Photos and videos: images captured at in-person sessions and events, as described in Section 4.

Information we create while delivering the Services. We create and retain member records, summaries of your Build Brief, and session notes. We may also record sessions when recording is enabled, as described in Section 4.

Information collected automatically. When you use our website, we and our providers may collect:

• Your IP address, browser and device information, and approximate location.
• Pages you visit, referring links, and interactions such as button clicks, form completions, bookings, and purchases.
• Identifiers and preferences stored through cookies, local storage, or similar technologies.

Where analytics is enabled, we may connect your activity with the email address you provide when subscribing, contacting us, or enrolling. This helps us understand how people discover and use our Services.

We do not intentionally collect sensitive information such as government identification numbers, health information, or precise location. Please avoid sharing sensitive personal information or confidential information you do not have permission to disclose.

2. How we use your information

We use your information to:

• Create and manage your account, enroll you, and provide access to programs, the MANA Library, and community spaces.
• Prepare for your sessions using your Build Brief and the scope we agree with you, including using AI to draft summaries of your Build Brief for our internal member records.
• Schedule and deliver sessions, create session notes, and make recordings available to you.
• Process purchases and refunds, maintain transaction records, and send receipts.
• Respond to questions, provide support, and manage scheduling changes.
• Manage community participation and the permissions you provide.
• Send newsletters and program updates when you have opted in.
• Understand how people use the Services and improve what we offer.
• Protect accounts, prevent fraud and abuse, resolve disputes, and meet legal obligations.

You can unsubscribe from marketing emails using the link in each message. We may still send essential messages about your purchases, account, or sessions.

3. How we share your information

We do not sell your personal information or share it for cross-context behavioral advertising.

We share information in the following circumstances:

With service providers. We use providers to operate parts of the Services, including accounts, payments, scheduling, email, hosting, storage, analytics, video calls, and AI-assisted summaries and notes. They receive information needed to perform those functions.

Our providers include:

• Stripe: payment processing.
• Clerk: account creation, sign-in, and membership access.
• Kit: newsletters, program communications, and enrollment contact information, including your phone number.
• Calendly: scheduling calls and sessions.
• Resend: transactional and contact-form emails.
• Google Workspace, including Gmail, Google Calendar, and Google Meet: email communications, calendar invitations, video sessions, and automatic session notes.
• Anthropic: drafting summaries of your Build Brief for our internal member records.
• Notion: member records and Build Brief information.
• Vercel: website hosting, delivery, and storage of your session notes.
• Mixpanel: website and product analytics.
• WhatsApp, operated by Meta: the MANA WhatsApp community.

Within sessions and community spaces. Information you choose to share in a group session or community space may be visible to other participants. Our community includes WhatsApp, operated by Meta, which handles information under its own privacy policy. If you join, your phone number and profile information may be visible to other participants, depending on the group and your settings. Consider what you want others to see before joining, posting, or sharing.

With your permission. We will ask before publicly featuring your work in marketing, a testimonial, or a case study. Photography and filming at in-person sessions and events are covered in Section 4.

For legal and safety reasons. We may disclose information when required by law or legal process, or to protect the rights, safety, and property of MANA Labs, our members, or others.

As part of a business transfer. Information may transfer as part of a merger, acquisition, or sale of our business or assets. We will require the recipient to honor this Policy.

We may also share aggregated or de-identified information that cannot reasonably be used to identify you.

4. Session notes, recordings, and photography

Automatic session notes. With your permission on your Build Brief, we use automatic note-taking to create notes from information shared during your sessions — currently Google Meet’s Gemini feature. We store the resulting notes with Vercel and make them available to you in your MANA Library. The tools we use for this may change over time; Section 3 lists the providers we work with.

Session recordings. With your permission on your Build Brief, we may record a session so you can revisit it afterward. Recordings may include your voice, image, shared screen, and information discussed during the session.

We will tell you before recording or automatic note-taking begins. You can ask us to turn either off at any time and still participate in your session. Turning either off does not automatically delete material already created; you can request deletion by emailing hello@manalabs.academy, subject to the limits described in this Policy.

We keep a record of your choices on your Build Brief, including the wording you were shown and the time you submitted.

We do not publish your sessions or share them outside our team without your additional permission, except with the service providers that process this information to operate our video, recording, note-taking, and storage tools.

In-person photography and filming. We use photos and videos of you on our website, in community spaces, and on social media only if you give permission on your Build Brief.

Your choice does not affect your participation. You can change it by telling your facilitator or emailing hello@manalabs.academy. If you withdraw permission, we will stop new uses. If you ask us to remove something we have published that shows you, we will take it down.

Featuring your work. You keep ownership of the work you share with us. As described in our Terms of Service, we may use it to support your program and run and improve the Services. We will ask for your permission before featuring it publicly in marketing, testimonials, or case studies.

5. AI tools and third-party services

We use certain AI services to help deliver our programs. We send your Build Brief answers, which may include your goals, project details, and business context, to Anthropic to draft summaries for our internal member records in Notion. We also use automatic note-taking — currently Google Meet’s Gemini feature — to create session notes, as described in Section 4.

These are providers we use to deliver our Services. Please avoid including sensitive personal information or confidential information you do not have permission to share in your Build Brief or sessions.

Our training also teaches you to use AI tools and other software through your own accounts. Information you submit directly to those tools — including prompts, uploaded files, and personal or business information — is handled under their providers’ terms and privacy policies.

Review those policies and your account settings before entering personal or confidential information. We do not control how those providers handle information you submit directly to them.

6. Cookies and analytics

We use cookies, local storage, and similar technologies to operate the website, remember preferences, and understand how the Services are used.

Essential technologies support functions such as account access, security, and checkout.

Preference technologies remember choices you make.

Analytics technologies help us understand visits, interactions, and enrollment activity. We use Mixpanel for this purpose. Where analytics is enabled, activity may be associated with your email address after you provide it to us.

Analytics choices. Our website uses your browser’s time zone to determine whether to show an analytics consent banner to European visitors. When that banner applies, analytics starts only after you accept. For other visitors, analytics is enabled by default.

If you decline through the banner, we remember that choice in your browser. Clearing browser storage or using a different browser or device may reset it.

You can also manage cookies and site storage through your browser settings. Blocking some technologies may affect how the Services work. For questions about analytics or information already collected, email hello@manalabs.academy.

Do Not Track. We do not currently change our tracking behavior in response to a browser’s “Do Not Track” setting. This is separate from an analytics choice you make through our consent banner.

7. How long we keep information

We keep personal information for as long as needed to provide the Services and fulfill the purposes described in this Policy.

For example, we retain enrollment and scheduling records to manage sessions you have purchased, including sessions you have not yet used. We retain Build Brief information and member records to support your program. We may retain session notes and recordings to make them available through your Library.

We may also retain information as needed for accounting, legal obligations, security, resolving disputes, and enforcing our agreements.

Paid sessions do not expire under our Terms. That does not mean every piece of personal information must be kept indefinitely. When information is no longer needed, we delete or de-identify it.

You can request deletion by emailing hello@manalabs.academy. Some information may need to be retained, and deleting information needed to provide your account or Library may affect those services. We will explain any relevant limits when responding to your request.

8. How we protect your information

We use reasonable administrative and technical safeguards to protect personal information, including limiting access to people who need it to provide the Services.

We also rely on service providers that maintain their own security measures.

No method of transmission or storage is completely secure. We cannot guarantee absolute security, but we work to protect your information and respond promptly to problems.

9. Your choices and privacy rights

You can unsubscribe from marketing emails at any time using the link in each message.

Depending on where you live and which laws apply, you may also have rights to:

• Access the personal information we hold about you.
• Correct inaccurate information.
• Request deletion of your information.
• Receive a portable copy of certain information.
• Object to or restrict certain uses of your information.
• Withdraw consent where we rely on it.
• Raise a concern with a privacy regulator.
• Exercise applicable privacy rights without unlawful discrimination.

To make a request, email hello@manalabs.academy. We may need to verify your identity before responding. You may use an authorized agent where the law allows.

We will respond within the time required by applicable law and explain any limits or exceptions that apply to your request.

10. International visitors

MANA Labs operates in the United States. Using the Services may involve transferring your information to, and processing it in, the United States or other countries where our providers operate.

Privacy laws in those countries may differ from those where you live. Your applicable privacy rights are not waived simply because you use the Services from another country.

11. Children’s privacy

The Services are intended for adults aged 18 and older.

We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, email hello@manalabs.academy so we can investigate and delete it.

12. Changes to this Policy

We may update this Policy as our Services or practices change.

When we make a material change, we will update the “Last updated” date and, where appropriate, notify you by email or on the website. Where consent is required for a new use of your information, we will ask for it.
